Refund & Returns Policy
Purpose
At The Hive, we strive to provide transparent, fair and consistent policies regarding tuition, cancellations, and refunds. This Refund & Returns Policy explains under what circumstances families may receive refunds or credits — and when tuition or fees are non-refundable.
Definitions
Tuition / Fees: Payments made to secure childcare services — including hourly care, monthly “Mother’s Day Out” or recurring programs, camps, activities, or membership fees.Enrollment Deposit / Membership Fee: Any initial non-refundable fee required to reserve a space or membership at The Hive.
Withdrawal / Cancellation: When the parent/guardian chooses to end or pause their child’s participation in our program.
Notice Period: The advance written notice required to cancel enrollment and request refund or credit.
General Policy Principles
All fees are due and payable according to the invoicing schedule provided at registration.To avoid misunderstandings, all refunds, cancellations, and return requests must be submitted in writing (email or signed letter), including the child’s name and reason.
The Hive reserves the right to review and approve or deny refund/credit requests at its discretion, based on the circumstances and our capacity to reassign or fill the child’s spot.
Enrollment / Membership Fees
The enrollment deposit (or membership registration fee), if applicable, is non-refundable after the spot is confirmed. This deposit secures your child’s reserved place and covers administrative and scheduling costs.If you cancel before your child’s first scheduled day of care, any prepaid tuition (excluding non-refundable deposit) will be refunded in full.
Withdrawal & Cancellation by Parent/Guardian
If you wish to withdraw your child from The Hive, you must provide written notice at least 30 days prior to your child’s final day.
If proper notice is provided:
Tuition for days beyond the effective withdrawal date will be refunded or credited on a prorated basis, depending on how much has been prepaid.
Any prepaid amount for care beyond the withdrawal date will be returned via the original payment method or credited against future payments (if applicable).
If withdrawal notice is less than 30 days, we may apply a fee equivalent to one month’s tuition (or as specified in your contract) and refund any remaining prepaid amounts, if any.
Unused Days, Absences, or Infrequent Use (e.g. hourly / drop-in care)
For families using hourly, drop-in, or “as-needed” care: you are billed only for the actual time your child attends. There is no refund for scheduled hours not used due to illness, vacation, or simply because the child did not attend — unless otherwise agreed in writing.
For regular/recurring programs (e.g. monthly “Mother’s Day Out,” camps) — once the session has started, tuition is generally non-refundable for days not attended.
Illness, Medical Emergencies, or Extended Absences
If your child is absent for a prolonged period due to illness or hospitalization, The Hive may offer a partial refund or credit (e.g. for the unused portion of prepaid tuition) if you submit a written request along with a medical certificate or documentation. This is subject to review and at The Hive’s discretion. Occasional short-term absences (e.g. a few sick days, vacation days) do not qualify for refunds.
Program or Facility Cancellation by The Hive
If The Hive cancels a scheduled session, program, or closes the facility for any reason (e.g. maintenance, emergency): prepaid tuition for the affected period will be refunded in full or credited, at your option.If cancellation is due to a breach of our policies by the parent/guardian (e.g. non-payment, repeated late pick-ups, behavior issues), the enrollment deposit may be forfeited and no refund or credit will be issued for the current period.
Refund Method & Timing
Approved refunds will be issued within 14 business days of acknowledgment of the written request, unless otherwise agreed.Refunds will be made through the original payment method whenever possible.
Documentation & Acknowledgement
A copy of this policy will be provided to all families at the time of registration and enrollment.Families will be required to sign (or initial) a statement acknowledging that they have read, understood, and agree to comply with this Refund & Returns Policy.
Policy Changes
The Hive reserves the right to update or modify this policy at any time.Families will be notified in writing of any changes at least 30 days before they take effect.
